For school careers advisers

Hours back every week, and every student leaves with a plan.

Record a careers conversation with the student's agreement, get a summary with next steps before they leave, and send it to the people you choose.

10 free conversations with real students.

Be in the conversation

Give the student your full attention. CareersNote takes the notes.

Your conversations are built on trust. CareersNote looks after the writing, so you can look after the student.

Full attention on the student

Look up, listen and follow where the conversation goes. Students open up when you're with them, not your notepad.

Notes done before the next student arrives

The summary is ready moments after you finish, so write-ups don't wait until after school.

Every action point, captured accurately

Who's doing what, and by when, written down while it's fresh, so nothing slips between the conversation and the follow-up.

How it works

Record, Summary, Send.

Three steps, and you lead every one. Nothing goes anywhere until you've checked it.

  1. 1

    Record

Ask the student, tick to confirm they agreed, and press record. Then just talk.

  2. 2

    Summary

Interests, pathways and next steps appear while the student is still with you.

  3. 3

    Send

Choose who receives it: the student, parents and whānau, the form or ako teacher.

See every step in detail

Bring your students in from KAMAR, a spreadsheet, or one at a time. Getting your students in

Everyone on the same page

One conversation, and everyone who supports the student is on the same page.

For the student

Leaves with a plan in writing

The next steps they agreed to, in their inbox before they reach their next class.

For the form teacher

Knows what was agreed, the same day

Their part of the plan is clear, so they can back the student up in class and at subject selection.

For parents and whānau

Part of the plan when it's right

You decide, conversation by conversation, whether parents and whānau receive the summary.

Need a colleague's help? Refer the student on, with the summary attached, in one step.

New to AI tools?

New to AI tools? That's fine.

CareersNote uses AI to turn the recording into a written draft for you to check. Here's exactly what it does, and what it doesn't.

What CareersNote does

  • Listens to the conversation and writes it down
  • Removes student and parent names before the AI sees anything
  • Writes a draft summary: interests, pathways discussed, next steps
  • Suggests next steps for you and the student to check

What it doesn't do

  • Decide anything for you or the student
  • Send anything without you
  • Keep the recording
  • Use your conversations to train AI

Privacy

Careers conversations are personal, so we keep them private.

Every privacy promise on this site is true to how CareersNote works today.

You ask the student before you record. Student and parent names are removed before the AI writes the summary. Audio is processed in Australia, and the AI provider can't use it to train its models. The full transcript is deleted once you approve the summary; the summary and next steps are kept so you can pick up next time. Only the people you choose receive the summary.

Built by a careers adviser

Made by someone who has sat in your chair.

Before WorkX, I was a head of careers, a careers adviser and a Gateway coordinator in New Zealand schools. The conversations were always the best part of the job. CareersNote keeps you in them, and gets the plan to everyone who needs it.

Questions

Questions advisers ask

Do I need IT to set it up?

No. CareersNote runs in your web browser, so there's nothing to install. Sign up, add a student and you're ready to record.

Does the student need to agree?

Yes. You ask the student before you start and tick to confirm they agreed. If they'd rather not, you can write a short note by hand instead.

What happens to the recording?

Names are removed, the audio is processed in Australia and the recording isn't kept. The full transcript is deleted once you approve the summary.

Can I change the summary?

Yes. It's a draft until you approve it. Edit any line, add or remove next steps, then send.

Who receives the summary?

Only the people you choose: the student, parents and whānau, the form teacher or a colleague. You decide every time.

What happens after the 10 free conversations?

Your summaries stay saved. Choose a plan when you're ready and we invoice your school.
